Process documentation using Word and Excel in Microsoft 365

You might have to document your procedures or show evidence of ISO 9001 certification, which necessitates process descriptions. Microsoft 365 provides three methods for documenting your business processes: a simple one-pager in Word, automatically generated complex diagram flows from task lists, and real-world samples in Vision in Microsoft 365.

SmartArt graphic for process documentation in Word

A simple way to add a flow chart to your Process Descriptions in Word is using SmartArt Graphics. Word Online in your browser displays SmartArt Graphics without any problem. But to insert SmartArt Graphics you need Word on your Windows or MacOS Desktop. Perfect for a one-pager.

SmartArt Graphics for creating process flow charts in Word are available with Microsoft 365 Business Standard or Premium subscriptions.

Documenting using process map flowcharts in Excel

Excel offers two templates to automatically create flowcharts from your process steps! You can design both basic and cross-functional flowcharts, whether horizontal or vertical. Select from various shape types and connect process steps using your unique process step IDs. This is ideal for documenting complex business processes that do not need to fit on a single page.

Microsoft Visio Data Visualizer is included in Excel templates for flowcharts from data.

Visio in Microsoft 365 has certain limitations that aren't significant if you're only documenting your processes. A Plan 1 or Plan 2 subscription, which is optional, includes additional templates and connectors.
