Quality Management Actions

A SharePoint QMS in Microsoft 365 includes a central list of quality management actions. This list monitors the action plan for implementing the quality management system and/or the actions from the management review.

The quality management action list is a list in the Microsoft Lists app in Microsoft 365, integrated into the SharePoint QMS team site.

In November 2024, Microsoft updated SharePoint Lists in SharePoint Online (SPO) with the Microsoft Lists app. The quality management action list is accessible as a SharePoint list via the “Actions” menu item in the horizontal navigation. Clicking on symbol “Open in immersive mode” in the upper right corner switches to the immersive mode of the list, meaning the list is displayed as a standalone list in the Microsoft Lists app.

The Microsoft Lists app has been available in Microsoft 365 since July 2020. Microsoft Lists evolved from over 20 years of experience with SharePoint lists and has been under continuous improvement since then.

The action list in quality management includes columns for status, description, category, and rating. This enables filtering of corrective and preventive actions in a CAPA view as well as displaying the action plan on a Kanban board. Based on defined rules, individuals are notified of changes to actions via email (the previous SharePoint notifications will be discontinued in July 2026).
