Simple Process Descriptions with Microsoft 365

Suppose you need to document your processes for customers, interested parties, or ISO 9001 certification. This could be your aha moment with artificial intelligence and Copilot in Microsoft 365!

Creating process descriptions using Copilot, the ChatGPT in Microsoft Word

You may need to document your processes or even provide proof of ISO 9001 certification, which in turn requires process documentation. A document library in SharePoint is the ideal storage location. Simply use an integrated template for process descriptions. These templates are provided with the SharePoint quality management system by Bluesite Consulting.

Operational processes are continuously improved. You can draft new processes particularly efficiently with Copilot in Word, a generative AI based on ChatGPT.

Pay attention to the four most important points in your prompts: goal, context, source, and expectations. The more precise your instructions in the prompt, the more suitable the result. Artificial intelligence can sometimes produce nonsense – so check the suggestions. The result can be further refined in draft with Copilot in Word.

Document essential details for the process description as per ISO 9001 requirements

Name the document after the process you have just described.

Now the process description must still meet the requirements of ISO 9001 for documented information, in short, documents.

To keep it simple, use the same title as the name. The title will then appear in the header.

Enter a revision number. This is an identifier that indicates the time of the last change or revision of the process description. Then specify the person responsible for the process – you might be that person. Finally, enter the date by which the process description must be reviewed and possibly revised.

Now, check-in is still required to prevent unintentional changes, as ISO 9001 requires for document control.
